What's the role?

The Administrative Assistant plays a vital role in ensuring the efficient day-to-day operations of the office while providing essential support across the organization. This position is responsible for managing office logistics, coordinating meetings and travel, and supporting the finance department with administrative tasks.

This is a fixed-term contract position lasting one year, with the possibility of extension.

What does the role involve?

  • Oversee office supplies, equipment, and inventory management.
  • Coordinate meetings, appointments, and travel arrangements.
  • Maintain well-organized physical and digital filing systems (contract management, filling/archiving documents and admin files).
  • Serve as the first point of contact for visitors and incoming communications.
  • Handling incoming and outgoing mails.
  • Prepare and process purchase orders.
  • Car fleet management.
  • Manage indirect procurement activities, with a specific focus on Facilities Management categories, such as maintenance, cleaning and office services.

What you need is:

  • Proven experience in office administration.
  • Proficiency in Microsoft Office Suite (especially Excel)
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills in Croatian; good proficiency in English.
  • High attention to detail and accuracy.
  • Ability to handle confidential information with discretion and integrity.
