HR Generalist (1 year contract)

We are looking for an HR Generalist to join our Human Resources team in Malaysia on a 12-month fixed-term contract and play a key role in delivering efficient HR operational support and a positive employee experience.

This role is designed to provide HR operational and employee lifecycle support during a period of business growth and organizational priorities. The successful candidate will work closely with the HR Business Partner, hiring managers, and business leaders to ensure smooth execution of core HR processes, while promoting Hilti's culture and values.

What You'll do

Talent Acquisition & Onboarding
Coordinate recruitment activities across business functions, including interview scheduling, candidate communications, and assessment logistics.
Partner with hiring managers and HR stakeholders to support timely recruitment updates and smooth hiring processes.
Facilitate onboarding activities, new hire coordination, and orientation support to create a positive joining experience.
Track probation reviews and onboarding milestones to support timely follow-up with managers and employees.

Employee Lifecycle Administration
Administer employee movements including confirmations, transfers, promotions, contract changes, and exits.
Prepare HR documentation and employee letters, ensuring accuracy, consistency, and confidentiality.
Maintain employee records and support timely HRIS updates, including data accuracy in Workday or other HR systems.
Coordinate employee file management and documentation readiness for internal HR processes.

Employee Relations & Employee Experience
Act as a first point of contact for employees and managers on routine HR-related enquiries.
Provide guidance on HR policies, processes, and employment practices within the defined role scope.
Support employee engagement initiatives, wellbeing activities, communication campaigns, and recognition activities.
Assist with employee relations coordination and documentation where required, under HRBP guidance.

Performance & Talent Process Coordination
Coordinate performance review timelines, reminders, and completion tracking.
Support HRBP and managers with logistics for talent discussions and development planning processes.
Prepare tracking reports and follow-up lists to support process completion and governance.

Learning & Development Coordination
Coordinate training programs, learning initiatives, and employee development activities with Learning & Development team.
Manage training schedules, attendance tracking, completion records, and reporting.
Support leadership and capability-building programs through logistics, communication, and follow-up coordination.

HR Operations & Compliance
Ensure HR documentation and employee records are maintained in line with company policies and Malaysian employment requirements.
Support HR audits, reporting requirements, and governance processes.
Identify opportunities to improve HR operational processes, employee experience, and administrative efficiency.
Maintain confidentiality and high standards of data integrity across all HR activities.

What You’ll Bring

Bachelor's Degree in Human Resources, Business Administration, Psychology, or a related discipline.
2-5 years of experience in HR Operations, HR Administration, HR Generalist, HR Coordinator, or HRBP support roles.
Experience supporting recruitment coordination, onboarding, employee lifecycle administration, HR documentation, and employee engagement activities.
Knowledge of Malaysian employment legislation and HR best practices.
Strong stakeholder management, communication, and follow-up skills.
Strong attention to detail, organizational skills, and ability to manage multiple priorities.
Experience using HRIS systems; Workday experience is an advantage.
Proficiency in Microsoft Excel, PowerPoint, and digital HR tools.
Ability to work independently while collaborating effectively across teams.
Comfortable working in a fixed-term contract role with clear delivery priorities.
