What's the role?
The Contract Administrator will work will support the Contract Manager in reviewing, coordinating and administering government, ISS and commercial contracts with 100% compliance with all federal, state and local laws and company policy. This includes responding to bids, completing and submitting RFI/RFQ for government bids, negotiating government and commercial contracts, reviewing customer terms and conditions, analyzing contract sales and providing contract reports, and monitoring bid boards.

What does the role involve?
- Exhibit at all times the highest standards of ethical and legal conduct.
- Monitor company performance for conformance to original proposal or scope of agreement.
- Monitor all government, bid boards through use of bid services and direct registration with government agencies and departments and commercial customers.
- Prepare bids and quotes per supplied information; make recommended price proposal for bids with documentation and rationale.
- Prepare and disseminate information throughout the company regarding contract/bid proposals, status (pending) and final outcome (win/lose).
- Prepare monthly report on results of bid board for Contract Manager.
- Make recommendations and suggestions to improve and/or streamline bidding efforts to increase success ratio of bids won.
- Make recommendations on bid board services – who to retain, who to add or who to delete based on results delivered.
- Maintain contract files in an electronic format for government bids and contracts.
- Assist in the monthly tracking of sales for existing term contracts.
- Register with State, County, City and local schools’ procurement agencies when requested by field; pro-actively register with government agencies and departments in targeted areas.
- Complete terms and conditions reviews for commercial customer purchase orders.
- Complete vendor registrations and certifications and representations.
- Accountable for coordinating and providing administrative support to the company and its customers by managing information, systems, policies and procedures to ensure the proper review, analysis and response arising from the company’s government sales activities.
- Coordinate bid/no-bid analysis and recommendations; identify proposal team roles and responsibilities; work with the sales team to develop strategies and pricing proposals.
- Act as the initial point of contact regarding government contractual issues and ISS contracts issues.
- Responsible for the comprehensive administration of the Company’s current and future government contracts including the preparation and submission of bids, reports, certifications, and similar documents as required by the company and its customers.
- Responsible for reviewing all proposals and drafting, negotiating and administering all contracts with legal team.
- Accountable for ensuring that all departments are adequately informed with respect to the issues related to the company’s contracts that are typical to their respective functions, and familiar with the company’s process for managing such issues.
- Maintain contract files (including electronic databases) for government and ISS contracts.
- Prepare and disseminate information throughout the company regarding contract status, compliance, modification, deviation, negotiation and termination.
- Prepare special reports and analyses as required.
- May provide contract and government training for other employees on any relevant contract compliance issues.
- Other duties as needed or assigned.
