The Senior Administrative Assistant is crucial in ensuring the smooth operation of the executive’s office and provides high-level administrative support to the senior executives within Hilti. This role is responsible for managing schedules, coordinating meetings and travel arrangements, and serving as the primary point of contact for internal and external stakeholders.

What does the role involve?

  • Manages assigned EMT calendars by planning and scheduling meetings, developing itineraries and coordinating travel, arranging lodging and meeting accommodations; accountable for developing documentation and publication of meeting materials including agendas, presentation materials, and meeting minutes, etc.
  • Ensures effective communication and coordination of events with other EMT members, administrative assistants and department team leaders for shared events and is accountable for the coordination of all HNA based events and materials for Global Head as they travel to HNA.
  • Supports front desk processes by greeting visitors, managing reception area, handling questions from employees, managing pool car check out and supporting badge system requirements.
  • Provides administrative support for various projects, including research and coordination.
  • Maintains office supplies by checking stock to determine inventory levels; anticipating needed supplies; evaluating new office products; placing and expediting orders; and verifying receipt of supplies.
  • Ensures operation of office equipment by completing preventive maintenance requirements, including following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques.
  • Assists with onboarding of new team members hired into the function; supports the coordination of functional senior management employment candidates, including arranging travel, site visits, communication between candidates and respective interviews; serves as a liaison between the employee and relevant department during on-boarding; and ensures compliance with company policies and federal requirements of new hire process.
  • Maintains and organizes files, databases, and records, ensuring data accuracy and confidentiality.

What you need is:

  • Associate degree or equivalent experience, required.
  • Five (5) years’ experience as an administrative assistant, required.
  • Administrative certification a plus.
  • Computer literacy required (MS Word, Excel, PowerPoint, Access).
  • Must be in the office a minimum of four (4) days a week, required.
  • Must be able to flex days in office to match functional EMT business.
  • Team must be seated together to build cohesiveness.
  • Knowledge of office administrative procedures and experience in operating standard office equipment.
  • Excellent command of the English language and strong written and verbal communication skills.
  • Must have a high level of interpersonal skills and to be able to handle sensitive and confidential situations.
  • Ability to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
  • Ability to multitask and have continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
