What's the role?

The Asset Management Systems Expert is responsible for managing the end-to-end lifecycle of IT and non-IT assets, including forecasting, procurement, deployment, tracking, and return logistics. The position ensures accurate asset records across systems, supports compliance and audit readiness, and drives efficiency through automation and process improvements. Key responsibilities include coordinating hardware requests, managing lease schedules, developing performance metrics, and collaborating with cross-functional teams and vendors. The role also involves training, stakeholder communication, and continuous improvement initiatives to enhance service delivery and user experience.

What does the role involve?

  • Lead end-to-end IT asset and non-IT rollout activities, including forecasting, purchasing, configuration planning, user communication, shipping coordination, return logistics, and stakeholder updates.
  • Maintain accurate and up-to-date asset records in the IT asset management database (CMDB) and Indirect Procurement (IP) asset management (Plan on/OnTrack), ensuring data quality for audits, reporting, and compliance.
  • Develop reports and KPIs to monitor lifecycle metrics such as time-to-ship, time-to-return, satisfaction rates, warranties, inventory levels, and contract timelines of all leased and owned assets.
  • Coordinate hardware requests and stock management in collaboration with onsite IT and Indirect Procurement, ensuring optimal asset utilization and timely provisioning aligned to business needs.
  • Manage lease schedules with Indirect Procurement and vendors, including tracking return deadlines, warranties and renewals.
  • Evaluate effectiveness of asset lifecycle management and mitigate deployment risks such as shipment delays, configuration mismatches, or user non-compliance.
  • Automate asset lifecycle processes using Power Automate, Intune, and ServiceNow to streamline provisioning, task assignments, and communications.
  • Act as a liaison between global and Regional IT Teams, Indirect Procurement Category Managers and Operations teams, as well as vendors to ensure alignment, transparency, and accountability across all lifecycle stages.
  • Deliver training and clear documentation to onsite IT teams and IP to support regional consistency and adoption of asset management tools.
  • Design and implement proactive communication campaigns for users and stakeholders during key deployment milestones.
  • Identify and implement continuous improvements to processes, tools, or vendor collaboration to enhance efficiency, data integrity, and end-user experience.
  • Oversee vendor relationships for asset-related services, including monitoring Service Level Agreements (SLAs), resolving operational issues, evaluating performance, and driving service improvements. Participate in supplier reviews, contract discussions, and escalation processes.

What you need is:

  • Bachelor’s degree in Business/Data Analytics, Finance, Business or Accounting. Master’s degree preferred
  • 3-5 years of experience in IT support, asset lifecycle management, rollout coordination, procurement, supply chain, logistics, or finance reporting
  • Strong background in global or regional deployment projects, especially involving leased hardware and large-scale coordination
  • Familiarity with asset management systems (e.g., ServiceNow, CMDB, Plan on), Microsoft Intune, and Microsoft Azure
  • Power Automate/Alteryx experience or other workflow automation tools are a plus
  • Familiarity to query information out of SAP ERP system
  • Strong Excel skills; experience building PowerBi reporting dashboards or data models
  • Basic understanding of finance, asset accounting principles, procurement, and contract management principles
  • Experience collaborating in cross-functional, international teams
  • Project management knowledge or certification is a plus
  • ITAM, ITSM, or IAM certification (e.g., ITIL, ITAM) is a plus
  • Excellent communication and coordination skills; fluent English is required (other languages are a plus)
  • Strong organizational skills with the ability to manage competing priorities across multiple geographies
  • Problem-solving mindset and proactive attitude
  • High attention to detail and data accuracy
